Many Dental Offices started back for 2023 this week.
A new year means a “fresh start” to many people.
A fresh start can mean, letting go of what DID NOT work the previous year and looking for a new direction that is easier, has less headaches and will give you better results.
I know many of us are searching for a ‘fresh start” right now!
A good place to begin is to look closely at the systems you have set up in your practice.
By systems I mean the procedures and steps your team follow and use every day to ensure everything runs easily and smoothly?
You may already have really good systems that work and give you great results.
DO NOT change these for the the sake of change.
Only change what is not working for you.
After looking closely at the systems you already have setup in the practice, you may discover your systems are not giving you the results you need, your team may be feeling lost and confused by the systems you have in place and you may even discover you are missing systems and that is why your results are flat.
Always remember that a good system is one that is clear and simple and easy to follow and gives you results.
The ultimate system is one that is in place, so your team can independently work at the practice, easily make decisions for your patients, and get results.
Answering the phone in a Dental Practice is one of those systems.
I’m always amazed how so many dental practices have no system for answering the phones.
Do you have a clear and simple system for your team to follow every time they answer a call?
Many dental offices are not aware of the impact the person answering the phones, has on the business, and this is why they have never set up a system for answering the phones.
A good system needs to be recorded and created as a procedure to follow in the practice by everyone not just a few when they feel like it.
I have also seen some amazing systems set up in dental practices, to then see them not being used.
The worst system is a great system that never gets used. Well it’s only a system when it’s used!
So where do you start, when setting up a system in your practice for answering phone calls?
- Look at what you are doing right now.
- Have definite steps to follow on the phone call for both the New Patient and the Existing Patient.
- Record these steps and have them next to your phone every day so they are easy to follow and nothing is forgotten on the calls.
- Create the language you want used on the phone calls, so you are creating the right first impression.
- Look at how you are going to track and measure the results of each phone call. This is so important!
Once you have a system in place make sure it gets used every day. Have someone check that it is being used properly.
Accountability keeps us on track and ensures everyone’s success.
And always remember when you have a great system in place, and use the system consistently over time, you will get amazing results in 2023.
