Do these three things today and see the difference they make to your business.
1. Start Counting
Counting how many calls come into your office then counting how many appointments are made will tell you what is happening. It will tell you if you are converting calls into appointments.
Think about this scenario. You believe your New Patient Numbers are down 70%. It must be because your phone is not ringing and you need to do more marketing and advertising to get the phone ringing to make more appointments over the phone.
Just imagine if you discovered the phone is ringing and the calls are not being converted into New Patient Appointments?
Your New Patient Reports tell you the number of New Patients each month and the revenue they brought into your Practice but they don’t tell you the number of New Patient Appointments that are not made and the revenue you missed out on.
If your New Patient calls are not being converted into appointments, you need to fix this now!
You need to ask yourself, why are the calls not being converted?
Is your team trying their best but just don’t know how to make appointments on most calls?
2. Ask the caller the right questions
The best way to convert calls into appointments is to ask the caller the right questions.
When you are helping someone, you need to know who they are, what their dental problem is and what they believe they need.
You want to ask questions that get the caller more concerned about their dental problem. You want the caller to know they have called the right Dental Practice and that you will be able to help them.
Is this happening in your Dental Practice? Is this the reason why the caller does not make an appointment and ends the call?
3. Make the appointment
Making an appointment for the caller is the best way to help the caller. The caller has chosen to call your office so it makes sense to make them an appointment.
You want your team to be confident on the phone and stay in control of each call.
Confidence is about knowing what to say and ask on the call and knowing at the end of the call an appointment will be made.
