You always want to be able to talk to your patients when you call them but as you know, in this busy world, it is NOT always possible.

When you leave a phone message, you want to tell the patient as much as you can in the short time you have.

It’s very difficult to do this.

The good news is, you don’t have to do this.

You shouldn’t be telling your patient everything on this phone message.

Do you want them to call you back or do you keep calling them until you drive them crazy?

You are probably leaving the wrong phone message.

You need to be able to leave a great message for your patients.

Your message must create curiosity and have a call to action for the patient to call you straight back.

Then, when the patient calls you back, you have control of the call.

When you call a patient and have to leave a message, regarding an appointment they have, or one you would like to make for them, then this is the best message to leave:

“Hi Mary, it’s Jenny from ______Dental. Can you please call me back this morning on ________regarding your appointment. Thank you.”


This is the same message you leave for both the patient who has an appointment and for the patient with no appointment yet.

This message is short and sweet, gets to the point regarding the appointment and does not tell the caller anything else.

When the patient rings you back regarding an appointment they have, you can go over what you need to discuss and when the patient calls back regarding the appointment they don’t have, then you now have an opportunity to schedule an appointment for them.

Remember, the goal of the phone message is to get the patient to call back.

By not giving all of the information regarding their appointment, whether it be a courtesy call to let them know you are looking forward to seeing them, a call to move their appointment, some important information to pass on to them before their appointment or to schedule an appointment for a patient with an incomplete treatment plan, this is the message to leave that will create curiosity and drive the patient to return your call.
